Planned work carries scope, contractor, dates, and budget while it is still a proposal. Approve it and it becomes an active project automatically, so nothing gets re-entered and nothing falls between the planning stage and the doing stage.

Quotes and estimates
Contractor quotes are stored against the work they price, with the original document attached. Upload a PDF or a photo and the system reads the amounts, dates, and contractor off it. Approve a quote and the amount is recorded as a committed cost on that project.

Itemized cost ledger
Every invoice and receipt is its own entry with an amount, date, vendor, and description, and the file stays attached and downloadable. Project and location totals are calculated from those entries, so any number on any report can be traced back to the paper behind it.

Construction schedule
Phases laid on a shared calendar with a today marker and dependency tracking, so a task scheduled to start before the work it depends on finishes gets flagged by name. Approving a project drafts its schedule automatically from the scope.

Budget, forecast, and cash needs
Live reporting across the portfolio: budget against recorded costs, variance by project and location, forecast at completion, and cash needs tracked as its own figure rather than folded into the forecast where it distorts the picture.

What is the Executive Portfolio Command Center?
It is a private web application where your locations, projects, contractors, quotes, costs, and schedules live in one place, with live budget reporting on top of them. VSF builds your operation into it during an engagement, and you and your team use it from any browser.
Is this software I have to buy?
No. It is part of the work, not a separate purchase. When an engagement involves managing projects, budgets, or multiple locations, the Command Center is where that work gets organized and where it stays when the engagement ends.
Do I need to be technical to use it?
No. If you can use online banking you can use this. Everything is set up for you, your existing records are brought in, and your team is walked through it. There is nothing to install and nothing to maintain.
Can my team and my accountant have access?
Yes. You can invite as many people as the work requires, and each person gets a role that controls what they can see and change. A bookkeeper can review costs without being able to delete a project, and an owner can watch the numbers without touching anything.
What happens to my data?
It stays yours. Every portfolio is isolated from every other one, access is controlled by role, and the underlying records can be exported. Nothing about your business is shared with anyone else.
